Data Usage – SekolahDigital System

EBH IT Solutions Sdn. Bhd. (“we,” “our,” or “us”) operates the SekolahDigital System (“the Service”), a web and mobile-based platform for Parent-Teacher Association (PIBG) management in Malaysian schools. This Privacy Policy explains how we collect, use, store, and protect your personal information. We comply with the Personal Data Protection Act 2010 (PDPA) of Malaysia.

1. Scope

This Privacy Policy applies to both our mobile app (available on Google Play) and our website. By using the Service, you consent to the practices described herein.

2. Authentication Services – AWS Cognito

We use AWS Cognito for secure sign-in:

  • Data Collected: Email, full name, phone number, unique user ID

  • Security: Passwords are encrypted; we do not store plain-text passwords

3. School Registration & Onboarding

  • Schools/PIBG must submit Surat Pengesahan PIBG and a consent letter.

  • Upon verification, we assist in registering a BayarCash merchant account for payments.

  • EBH IT Solutions manages the payment gateway on behalf of schools for smooth integration.

4. Information We Collect

4.1 Personal Information

  • Parents/Guardians: Name, email, phone number, relationship to student

  • Students: Name, class/grade, school admission number

  • School Staff: Name, staff ID, contact info

4.2 Payment Information

  • Processed via BayarCash

  • We store transaction history (amount, date, purpose, receipt)

  • We do NOT store credit card numbers, CVV, or online banking credentials

4.3 Technical Data

  • Device info (model, OS)

  • IP address, login timestamps

  • App crash logs, performance data

5. How We Use Your Information

We use personal data for:

  • Service delivery (authentication & portal access)

  • Financial management (PIBG contributions & receipts)

  • Communication (notifications on school activities & fees)

  • Security (fraud detection & unauthorized access prevention)

6. Account Deletion

Retention Policy:

  • Personal profile data: removed within 90 days

  • Financial records: retained 7 years for audit & tax compliance

7. Children’s Privacy

  • Service intended for adults (parents, teachers, PIBG)

  • Student info entered by parents/admins only

  • No direct collection from children under 13 without consent

8. Data Storage & Security

  • Hosted on AWS Malaysia Region

  • Encryption: SSL/TLS for data in transit

  • Access control: Role-based, data restricted to relevant users

  • Backups: Automated daily backups

9. Data Sharing

We do not sell your data. Shared only with:

  • BayarCash (payment processing)

  • School Administrators (relevant student & payment info)

  • AWS (cloud hosting & authentication)

10. Your Rights (PDPA 2010)

  • Access personal data we hold

  • Request correction of inaccurate data

  • Withdraw consent for processing (subject to legal restrictions)

  • Prevent processing for direct marketing

11. Changes to This Policy

We may update this policy at any time. Significant changes (e.g., new payment providers) will be notified via the app or email. Continued use means acceptance of updates.
